The Project Manager plays a critical role in working with the Account Executive and client team to plan, organize, manage and execute projects from beginning to end. The project scope can vary from single pieces of collateral to multifaceted, multi-channel marketing campaigns. The Project Manager assigns individuals or entire teams to tasks within the project, while creating and managing detailed schedules throughout the duration of the project. Another critical function that Project Managers play is a central role in is risk analysis. They must be adept at identifying potential roadblocks related to budgets, resources and timelines, and reporting these potential issues to their teams as necessary.

Responsibilities:
• Manage and track projects from forecast stage through project execution
• Create and maintain project timelines
• Drive project schedules, timelines and resources, ensuring that both internal and external milestones are met
• Manage deliverables and dependencies between departmental teams
• Ensure that all appropriate team members are entering/maintaining up-to-date schedules
• Organize internal status meetings and manage requirements for external client meetings
• Organize and attend account/production status meetings, including initial briefing with all team members to explain project and determine cross-disciplining scheduling
• Manage internal and external communications including memos, conference reports, etc.
• Develop competitive reports
• Manage billing activity
• Assist Account Executive with maintaining the budget and reports on variances and needs which are outside of the project scope
• Collaborate with producers on production and timing
• Provide daily end to end project management of all agency projects and workflow
• Identify business process improvement opportunities and proactively partner with operational departments to align existing technology or define new solutions to support and enhance workflow and operations.
• Maintain professional knowledge by attending educational workshops; reviewing professional publications; benchmarking state-of-the-art practices
• Participate in building project estimates for business development
• Flag internal capacity supply & demand issues
• Manage Mavenlink, be the go-to person for questions about Mavenlink and create projects within the system
• Assist with crafting project briefs as needed
• Proof work before it is presented or sent to client
• Participate in brainstorming and concepting as appropriate

Required Skills / Experience:
• 4+ years of relevant industry and advertising experience
• 4+ years of experience with project management processes, workflow and terminology
• Experience with project management software and tools
• Excellent understanding and experience of the processes, procedures, and functions that are involved in complex projects
• Must be detail-oriented and a proactive problem-solver
• Must be adaptable and able to calmly deal with shifting priorities
• Ability to function well in a fast paced environment under tight deadlines
• Demonstrated success in managing complex, cross-functional projects through to completion
• Excellent organizational, communications and interpersonal skills.

• Experience with Mavenlink or other project management software is a plus
• Agency experience is a plus
